If Teams isn't set up properly, it turns into "talking everywhere, finding information nowhere." To avoid the chaos of 50+ teams and 500+ channels at enterprise scale, some principles need to be set at the start.
01. Team vs Channel Distinction
Team: a permanent group (department, project team, division). Channel: a topic split within a team (general, projects, announcements). Before creating a new team, ask — would a channel be enough?
02. Channel Naming
There should be a standard naming scheme. For example: [Project code] Project Name, [Department] Topic, etc. Otherwise the channels become a mess in a short time.
03. External Collaboration
When collaborating in Teams with customers or suppliers, "Guest access" or "Shared channels" are used. Who can see what — clarify from the start.
04. File Management
Each channel keeps a separate folder in SharePoint. When the channel is deleted, the files go too. Critical files should be kept in general SharePoint, not in Teams.
05. Meeting Setup
Every meeting stays on record within Teams. But too many meetings also complicate the information archive. A standard meeting frequency and duration should be set.
