CRM–ERP Integration: Same Customer, One Truth

How do you set up the two-way flow of customer, order and account data between CRM and ERP? Field mapping, roles and practical implementation details.

A customer in CRM, the same customer in ERP. In one, the sales team keeps conversation notes; in the other, accounting pulls the account balance. When the two don't talk, the salesperson isn't aware of the account-balance status while making a quote to the customer; and accounting can't expect an order from a record that's still at the opportunity stage. Two-way communication between these systems is a matter of basic corporate hygiene.

01. Where Is Each Piece of Data Created?

To keep the two systems from overriding each other, you have to decide up front:

  • Customer card: created in CRM, flows to the ERP as a record once approved
  • Account balance: created in the ERP, flows to CRM for display purposes
  • Opportunity: in CRM only
  • Order: created in the ERP, reflects in CRM as a "won opportunity"

These decisions can be adapted for each customer and project but must be consistent.

02. Field Mapping and a Common Key

Customer matching between the two systems is critical. Using the tax number as the common key is healthiest; the customer name isn't unique enough (Ali Yılmaz Ltd. — which one?). If there's no tax number, the ERP's account code is carried into CRM as an "external reference."

03. Assignment and Permissions

If a user works with customer X in CRM, they should have view permission for the same customer's account information in the ERP — but edit permission stays with the accounting team. The permission model between the two systems must be consistent; what's hidden on one side shouldn't be visible on the other.

04. Concrete Benefits

A well-built CRM-ERP integration produces these concrete benefits:

  • The sales team sees the account balance and term risk while making a quote
  • Accounting learns in advance about an order that's about to close
  • The same customer doesn't have different information in two systems
  • Report consolidation (opportunity + order + collection) is done from a single model

These four benefits prove that integration is not a "luxury" but a basic indicator of health.
